Booked is committed to providing a safe, respectful and transparent coaching experience for performers and their families. The policies below explain how sessions, cancellations, submitted materials and personal information are handled.
Session Recording & Privacy
All Booked coaching sessions are recorded as a private safety measure for the protection of performers, families and coaches. Recordings are treated as confidential, access is limited to authorized Booked personnel, and recordings are never used for marketing, social media or any other public purpose.
By booking a session, the parent or legal guardian—or the performer, if age 18 or older—acknowledges and consents to the session being recorded under this policy.
Performers Under 18
Bookings for performers under 18 must be completed by a parent or legal guardian. By submitting a booking, the adult completing the form confirms that they have the authority to consent to the performer’s participation, session recording and the collection of information reasonably necessary to provide the coaching service.
Booked does not ask children under 13 to independently create an account, make a purchase or submit personal information. Information about a minor performer should be provided by their parent or legal guardian.
Scheduling, payment and policy-related communications will be sent to the adult contact provided during booking. Parents and legal guardians are welcome to attend coaching sessions.
Cancellations, Rescheduling & Missed Sessions
Sessions may be canceled or rescheduled without charge when at least 24 hours’ notice is provided.
Sessions canceled or rescheduled with less than 24 hours’ notice are charged in full. If the session was purchased as part of a package, the session will be deducted from the package. The same policy applies when a performer does not attend a scheduled session.
Sessions begin and end at their scheduled times. A late arrival does not extend the session or reduce the session fee.
If Booked or the assigned coach must cancel a session, the session will be rescheduled without charge or loss of a package session.
Audition Materials & Information
Families may provide audition notices, scripts, sides, sheet music, recordings, website links and other materials to help the coach prepare for a session. These materials are used only to coordinate and provide Booked coaching services.
Submitted materials may be shared with the Booked coach assigned to the performer, but they will not be published, used for marketing or shared outside the Booked coaching team unless permission is provided.
The person submitting the materials is responsible for ensuring that they have permission to share them and that any links or files can be accessed by the coach. Booked may remove submitted materials when they are no longer reasonably needed to provide or administer the coaching service.
Personal Information & Privacy
Booked may collect contact information for the parent or legal guardian, basic information about the performer, audition details, submitted materials, scheduling information, purchase records and communications related to coaching.
This information is used to provide and administer Booked’s services, match performers with appropriate coaches, process bookings and payments, communicate with families, maintain safety and improve the coaching experience.
Booked does not sell or rent personal information. Information may be shared with assigned coaches and with service providers used to operate the business—including website, scheduling, videoconferencing, email and payment providers—only as reasonably necessary to provide or administer the service. Information may also be disclosed when required by law.
Booked uses reasonable safeguards to protect personal information. However, no online storage or communication system can be guaranteed to be completely secure.
A parent, legal guardian or adult performer may request access to, correction of or deletion of personal information by contacting info@bookedcoaching.com. Some information may need to be retained for legitimate business, financial, safety or legal purposes.
